MUNTURKEY.COM CONFERENCE SUPERVISION AND SUSTENTATION CRITERIA

CRITERIA FOR ADDING A CONFERENCE TO THE CALENDAR OF MUNTURKEY.COM

  1. The Secretary-General and Director-General of the conference are obliged to have 10 experiences or conference should be organized by a school and the advisor should be responsible from the confernece.
  2. Separate calendars will be formed for MUNs, MBMs, National Forums, and Workshops, yet all registration will be taken via the same application form.
  3. In case the conference has committees that are not related to the UN (except historical and futuristic committees) the conference will not be taken into the calendar of MunTurkey.com
  4. Problems related to the conference and delegate support system will be solved immediately and participants violating the rules will be added to the blacklist. Report conference or delegate via info@munturkey.com
  5. Allocations and study guides will be published at least 1 week before the conference
  6. MUNTurkey.com’s Support Team will always provide assistance to the conference and delegates about any matter. Contact info@munturkey.com
  7.  MUNTurkey.com will supervise the conferences through an observer team which will also provide help in case of a problem
  8. The conference is obliged to send 1 Sample Study Guide, Rules of Procedure, and Code of Conduct to MUNTurkey.com during the application for the calendar.
  9. In the Code of Conduct, the conference is obliged to add the article of┬á “The delegates who violate the conference rule will be added to the blacklist of MUNTurkey.com” in the application form, ask all participants to accept the terms and conditions.

1. Responsibilities of  the Organizing Team Before the Conference

  • OP-Careful determination and communication of Manager, academic and organization team members
  • OP-Determining the date of the Conference
  • OP-Determination of the committees, agenda items, and procedure
  • O-Determination of the platform by testing on which the conference will be conducted
  • OP- Creating platforms for the promotion of the conference such as Instagram, website etc.
  • P-Determination of the place or places where the conference will be held
  • OP-Determining the conference fees
  • OP-Preparing and publishing the application forms
  • OP-Code of Conduct document must be prepared and published before the applications are open
  • OP-The Rules of Procedure document must be ready and published at least two weeks before the conference
  • OP-Determining and publishing the conference schedule
  • OP-Setting and publishing deadlines for applications, payment, etc.
  • OP-Introducing the organizing team of the conference
  • OP-Identification and communication of the sponsors if the organizing team plans to have any
  • P-Organizing transportation, accommodation, etc. facilities (for participants from outside the city) and planning social activities such as the social event
  • P-Organizing the procurance of needs of the participants such as lunch, snacks, and beverage for coffee breaks, etc.
  • P-Requirements such as placard, badge, pen (optional), bag (optional), flags (optional), etc. must be planned and provided
  • OP-Inviting a keynote speaker or more than one to the opening ceremony(optional, depending on the organizing team)
  • OP- Carefully determine the Chair Board and Crisis Team Members(if there are any) and instruct them with needed information while maintaining a strong communication
  • OP-Supervision of applications
  • OP-Informing the applicants about their receiving their applications followed by their acceptance/rejection and allocation (at least one week before the conference) and getting feedback
  • OP-Publishing the Study Guides at least one week before the conference
  • O-Committee Whatsapp groups shall be open one week before the conference after permission is taken from all participants
  • OP-Planning the opening and closing ceremonies
  • OP-Preparing the team and committee introduction videos
  • P- Getting the conference venue, committee rooms, etc. ready

2. Responsibilities Of The Organizing Team During The Conference

  • OP-Supervision of the organizing team of the conference in terms of both academic and organization depending on their duties
  • OP-Preparing a closing video from the photos, and videos taken during the conference for the closing ceremony (not necessary depending on the press and IT team of the conference)
  • OP-All needs of the participants must be met and problems must be resolved instantly
  • OP-Awards shall be determined and delivered at the closing ceremony

3. Responsibilities Of The Organizing Team After The Conference

  • OP-Preparing and delivering the certificates to the participants within at least three days
  • OP- Reimbursing the conference fee to people who could not attend depending on de refund policy of the conference

1. Academic Supervisions

a. Inspections to be made before the conference;

i. Academic team’s work and effort on the committee, procedure, agenda items, etc.
ii. Content and timely publication of documents such as study guides, procedure booklets, and committee matrixes
iii. Secretariat, USG, and Chair Board studies and communication
iv. Allocation criteria and delivery to the participants on time
v.The efficiency of the Secretary-General and the secretariat
vi. Application oversight and acceptance criteria

b. Audits to be carried out during the conference;

i. Correctly following the procedure and rules in the committees
ii. Academic team if they fulfill their duties
iii. The efficiency rate that the participants can get from the conference
iv. Award distribution policy and whether this policy is followed
vi. Whether the Crisis team works efficiently
vii. The efficiency of the Secretary-General and the secretariat team

2. Organizational Supervisions

a. Inspections to be made before the conference;

i. The work of the organization team of the conference
ii. Duties of the whole team, especially the public relations team such as communication, mailing and delivery of necessary information to the participants
iii. Logistics team’s ways of performing their duties and compliance with certain standards about some issues such as transportation, accommodation, venue etc.*
iv. How the finance team works and the financial affairs of the conference are handled
v.  Leadership of the Director-General4
vi. Effective and correct use of the website and social media

b. Supervisions to be made during the conference;

i.If the code of conduct is followed properly by the participants and the attitude of the conference team on this issue
ii.  Effective use of the online platform where the conference will be conducted (Only valid for online conferences)
iii. How the security team works and how they intervene in security-related situations when necessary *
iv.  Protection of order in social events *
v.   Administrative Staff team to perform their duties on the committees correctly *
vi. Meeting the needs and requirements of the participants as soon as possible
vii. The leadership of the Director-General

c. Inspections to be made after the conference;

i. Delivering the certificates to the participants completely
ii. Making refunds (depends on the policy of the conference on this issue)
